How we work
AI drafts. Humans decide. You approve.
Here’s what happens from your first call to your monthly report, how we use AI, and the lines we won’t cross.
Our process
From first call to monthly report
Seven steps. You’ll always know what’s happening, what we need from you, and what comes next.
-
Free check call
We learn about your practice, the clients you most want to reach, and any concerns you have about ethics or privacy.
Your part: a 30-minute call.
-
Written report
A short written report on your website, Google Business Profile, AI search visibility, and tracking risks, with the first fixes we’d recommend.
Your part: read it. It’s short.
-
Plan and proposal
If you’d like our help, we send a written proposal with scope, timeline, and price. You decide, with no pressure.
Your part: say yes, no, or not yet.
-
Onboarding
We ask only for the access we need, such as your website, Google Business Profile, and directory listings. We never need access to client records.
Your part: share access and a few examples of your writing, so we can match your voice.
-
Draft, review, approve
AI helps us draft. A person edits and fact-checks every piece. You review and approve anything clinical before it goes live.
Your part: review drafts and approve them.
-
Launch and check
We publish, then double-check forms, tracking, and listings to make sure nothing shares information it shouldn’t.
Your part: nothing, unless something needs your sign-off.
-
Monthly report
One page in plain language: inquiries, consultations, visibility, and email signups, plus what we recommend for next month.
Your part: a few minutes of reading.
Our AI principles
How we use AI, and how we don’t
AI makes our work faster and more affordable. Human judgment and therapist-specific ethics keep it safe.
-
AI drafts, humans decide.
AI helps us research, outline, and write first drafts faster, which keeps our prices lower. A person on our team then reviews, edits, and fact-checks everything before you see it.
Nothing an AI tool writes is published without a person reading it first.
-
Therapists approve clinical content.
Anything that describes a condition, a treatment, or what clients can expect goes to you for approval before it’s published.
You’re the clinician. We bring marketing skill and time; you bring clinical judgment and the final say.
-
No client data in AI tools.
We never enter client names, stories, or health information into AI tools, and we never need to.
If client information is ever shared with us by mistake, we’ll delete it and let you know.
Ethics and privacy
Our ethics and privacy commitments
Therapy has rules most marketers never learn. We build them into how we work.
-
Privacy-safe website tracking
No ad pixels or tracking scripts that could pass health information to third parties. We prefer privacy-friendly analytics that don’t use cookies.
-
No testimonials from your clients
Many professional ethics codes restrict soliciting testimonials from therapy clients, so we never ask the people you treat for reviews or testimonials.
-
Your approval on clinical statements
Every clinical claim on your website, in emails, and on social media is approved by you before it’s published.
-
Accurate, modest claims
No guarantees, no “cure” language, and no exaggerated outcomes. Just clear, honest descriptions of what you offer.
-
Only the access we need
We ask only for the accounts we need to do the work. We never need access to client records or your electronic health record system.
-
Tools chosen with care
Where health information could be involved, we recommend tools whose vendors will sign a Business Associate Agreement.
-
HIPAA-aware, and honest about it
We’re HIPAA-aware, not HIPAA certified, and we’re not a law firm. For legal questions, please talk to a healthcare attorney.
What we don’t do
Lines we won’t cross, even if asked
Saying no to these helps protect you, your clients, and your professional standing.
-
We don’t offer: Client testimonials
We don’t solicit reviews or testimonials from your therapy clients.
Asking people in a therapeutic relationship for public praise can put them in a difficult position, and many ethics codes restrict it.
-
We don’t offer: Cold outreach
We don’t send automated cold emails, texts, or social media messages to people on your behalf, and we don’t score people on how likely they are to need therapy.
Uninvited messages can pressure people who may be vulnerable, and many ethics codes restrict that kind of solicitation. Guessing at someone’s mental health from their data crosses a privacy line. Our job is to make you easy to find, so people can reach out when they’re ready.
-
We don’t offer: Clinical chatbots
We don’t build chatbots that collect clinical information.
Symptoms, histories, and crisis disclosures don’t belong in a marketing tool.
-
We don’t offer: Access to client records
We don’t access client records.
We don’t need them to market your practice, so we never ask for them.
-
We don’t offer: Guaranteed results
We don’t guarantee results.
No one can honestly promise rankings or a full caseload. We promise careful work and honest reporting.
A note on legal advice
Note: We’re HIPAA-aware, not HIPAA certified. The U.S. Department of Health and Human Services doesn’t recognize any HIPAA certification, so we don’t claim one.
We’re marketers, not lawyers. Nothing we provide, including our privacy and tracking audit, is legal advice. For questions about HIPAA, state privacy laws, advertising rules, or your licensing board’s requirements, please talk to a qualified healthcare attorney or your professional association.
